The Booking Process
Prior to booking, please read the information related to my services and policies, including the terms of service and other information. You can find links to these in the footer of every page or on the site map. You can also see the FAQ’s page for commonly asked questions.
Before booking happens, please enquire with me about your interest, using this form.
How and where does booking happen?
I operate my practice via an online all-in-one therapy practice software called ‘Writeupp”.
If we have agreed to progress to booking, you’ll receive a WriteUpp booking link by email from me.
To book a session or a discovery call, please click the Writeupp booking link and follow the instructions in the email.
Choose an available session that works well for you.
You will be asked to register with Writeupp to book. You will be asked to pay through Stripe there and then at the time of making your booking. If you have been issued with a discount code so that it adjusts to the correct amount for you to pay, you must enter that code.
You will receive email confirmation and access instructions to use for our meeting on the day.
Geographic Location
I work online with adults located in the United Kingdom and may be able to work with clients in some other countries. Whether I can offer or continue sessions depends on the client’s physical location, local professional requirements and the territorial and jurisdictional conditions of my insurance.
I am not able to provide sessions to clients physically located in any territory excluded by my insurance or where local laws or professional requirements prevent me from practising.
Current clients must tell me before a session if they will be outside their usual country of residence.
Cancelling or Rescheduling an Appointment
You may cancel or reschedule a booked appointment without charge at any time up to 48 hours before its scheduled start time.
You can reschedule by using the link provided in your booking-confirmation email. You may also contact me by email at vauna@protonmail.com.
If an appointment is cancelled or rescheduled less than 48 hours before its scheduled start time, the full session fee will normally remain payable and payments already made will not normally be refunded. This is because the appointment time has been reserved exclusively for you and is unlikely to be filled by another client at short notice.
I recognise that unexpected and exceptional circumstances sometimes occur. You may contact me to explain that an exceptional circumstance has prevented your attendance. I will consider such situations individually and may, at my discretion, offer a refund, credit or rearranged appointment. This discretion does not guarantee that the fee will be waived and does not alter any statutory consumer rights.
Where I cancel an appointment, you may choose either a full refund or an alternative appointment.
This appointment-cancellation policy is separate from any statutory cancellation rights that may apply when you first enter into a distance contract for services.
If you can’t find the link or need help you can email me on my email address or using the contact form on here and i will assist.
Late Arrival
Please join your appointment at the agreed start time.
If you arrive late, the session will normally still finish at its originally scheduled time, and the full session fee will remain payable. This protects the appointments and other commitments that follow yours.
Where an unavoidable delay has occurred and my diary permits, I may agree to extend the finishing time so that you can receive the full session. An extension is not guaranteed and should not be relied upon as part of the normal appointment arrangement.
If you have not joined the session and I have not heard from you, I will remain available through the video-session link for 15 minutes. After that time, the appointment may be treated as missed. I will ordinarily email you if you have not arrived, but I cannot guarantee that I will always be able to do so.
If lateness becomes recurrent, we will discuss whether the appointment time, frequency or booking arrangement remains workable.
Reports and Letters
Letters and reports are not included as a routine part of psychotherapy. I may consider a request for a brief factual letter or professional observation on an individual basis. Any such letter will be limited to matters I can responsibly confirm from our therapeutic work. It will not constitute a diagnostic, functional-capacity, forensic, medico-legal or expert-witness assessment.
I may describe relevant therapeutic observations concerning the impact of disability or neurodivergence where these have arisen within our work. Such observations are based on what I have learned through psychotherapy and not on a separate or comprehensive assessment undertaken for evidential purposes.
I will not write a letter whose purpose requires me to reach a predetermined conclusion, overturn a sanction, determine legal responsibility or influence a decision beyond the limits of my knowledge and professional role.
